Privacy Policy

Schooltoolz (“we,” “us,” or “our”) is committed to protecting the privacy of teachers, students, and schools that use our tools. This policy explains what we collect, why we collect it, and how we use it.

What we collect

We collect only what's necessary to run our tools:

  • Account information — name and email address when you sign up.
  • Usage data — how you interact with our products (e.g., features used, session duration).
  • Session monitoring data — for Proctorly and similar tools: webcam snapshots, tab-switch events, screen activity, and audio flags collected during an active exam session.
  • Device information — browser type, operating system, and IP address for security and debugging purposes.

We do not collect data beyond what is needed to provide our services.

Student data and FERPA

We take student privacy seriously. Schooltoolz products are designed with the Family Educational Rights and Privacy Act (FERPA) in mind. Student data collected through our tools:

  • Is never sold to third parties.
  • Is never used for advertising.
  • Is only accessible to the teacher or school that collected it.
  • Can be deleted on request.

Schools and districts using Schooltoolz tools act as the data controller for student information. We act as a data processor on their behalf.

How we use your data

  • To provide and improve our tools.
  • To send product updates and important notices (you can unsubscribe at any time).
  • To diagnose technical issues and improve reliability.
  • To comply with legal obligations.

We do not use your data for behavioral profiling or sell it to any third party.

Data retention

Exam session data (snapshots, event logs, reports) is retained for 90 days after the exam date, unless your school has requested a different retention period. Account data is retained until you close your account.

You may request deletion of your data at any time by contacting us at privacy@schooltoolz.com.

Third-party services

We use a small number of trusted third-party services to operate (e.g., cloud infrastructure, error monitoring). These providers are contractually prohibited from using your data for any purpose other than providing services to us.

We do not use advertising networks, data brokers, or analytics providers that build user profiles.

Cookies

We use only essential cookies required to keep you logged in and to protect against cross-site request forgery. We do not use tracking cookies or third-party advertising cookies.

Security

Data is encrypted in transit (TLS) and at rest. Access to production data is restricted to authorized personnel. We review our security practices regularly.

Children's privacy

Our tools are used in K–12 environments. Students do not create accounts with Schooltoolz — they interact through a session link provided by their teacher. We do not knowingly collect personal information from children under 13 for our own purposes.

Changes to this policy

We may update this policy from time to time. When we do, we'll update the date at the top of this page and, for material changes, notify account holders by email.
